The paperwork is not the job, but it takes the evening

There is a pattern in documentation-heavy work. The actual work happens somewhere else — a property, a site, a claim, a store, a client meeting — and the writing up happens later, from memory and scribbled notes, after hours.

Dictation helped with that, but only halfway. It gave you your words back as text. Somebody still had to shape those words into the report, the assessment, the bid, the listing — put them in the right order, under the right headings, in the format your organization expects.

SpeechLive Professional AI Assistant closes that second half. You describe what you saw and what needs to happen, in whatever order it comes out, and it returns a structured document in your template.

1. Capture it where you are

Record on your phone through the SpeechLive mobile app while it is fresh, or dictate at your desk. You can also upload an audio file recorded earlier.

2. Pick a template, generate

The AI pulls the details out of what you said, in any order you said them, and maps them into the layout your organization uses.

3. Review or delegate

Revise it yourself by voice or chat, or send it into the workflow so someone in the office finishes and files it.

The practical consequence: by the time you get back, the write-up is mostly done. If you visit six sites in a day, you are not facing six reports at 7pm — you are checking six drafts.

One example, because it makes the rest obvious

An area manager walks supermarkets on a weekly circuit. In each store they record what needs changing — this end cap, that display, this stock issue — straight into their phone.

Previously that recording went back to the office for someone to turn into a store analysis, per store, per visit. Now the recording plus a template returns a finished analysis, so the person who saw the problem is not also the bottleneck for reporting it.

Swap the supermarket for a claim, a building site, a rental property or a client meeting and the shape does not change. That is why this is one product with eight audiences rather than eight products.

You do not have to dictate in order

No prompts, no fields, no rigid sequence. You describe things as they come back to you, and you correct yourself out loud the way you would when briefing a colleague — “actually, change that figure to…” — and the correction is understood as a correction.

You can also give it formatting instructions while you talk. Bold something, put a summary at the end, lay a section out a particular way.

Templates you build by talking

Ask the AI chat to create a template for the document you produce, then edit it until it matches what your organization actually expects. Sections that must appear word for word can be marked verbatim so the AI leaves them alone.

Know this before planning a rollout: uploading your existing Word or PDF templates is not supported yet — templates are built through the AI chat. If you have a library of standard forms, ask us how that is meant to migrate before you commit to a timeline.

Getting the facts in when you did not say them out loud

Attach up to five source files to a document so the assistant can use detail that was never dictated — .txt, .docx, .pdf, .jpeg, .png, .bmp and .heif, including handwriting recognition.

A photograph of the notes on your clipboard, or of a form filled in on site, becomes material for the write-up instead of something you have to read aloud in the van.

After the draft

Keep editing by chat or voice — renumber a list, change the formatting, add a summary at the end, add a signature block — then export to Word, PDF or plain text, or leave it in the SpeechLive workflow for an assistant or typist to complete.

That handoff is worth pausing on. Plenty of AI tools are sold on the promise of removing the administrator. This one keeps them in the loop as the person who checks and completes, which is generally what organizations actually want — a second pair of eyes before something goes out under your name.

One difference from the Legal version, stated plainly

SpeechLive Professional and SpeechLive Legal are the same idea with different vocabularies. Professional accounts do not receive the legal vocabulary updates — they stay on standard professional recognition. If your work involves case citations and legal terminology, you want SpeechLive Legal instead. If it does not, the legal vocabulary would do nothing for you and you should not pay for it.

Where it fits, and where it does not

Strong fit

Recurring, structured documents built from observation or conversation — reports, assessments, visit notes, summaries, standard correspondence.

Poor fit

Very long documents with deep multi-level sub-sections, and organizations whose template needs are minimal. If you write one report a month, this is not your problem to solve.

Different problem

If you only need words on screen faster and nobody downstream depends on the format, ordinary speech-to-text is far cheaper and will do.

Security and compliance

What is claimed, and by whom

SpeechLive holds ISO 27001, ISO 9001 and ISO 14001 certification and is built to GDPR and the EU AI Act. It runs on Microsoft Azure with data stored in your designated region and not transferred outside it.

Your data is not used to train AI models. If you are dictating client, claimant or student detail into it, that is the sentence that matters.

Philips positions this as a drafting aid, not a decision-maker. You review the output and you remain responsible for it.

What it costs

The AI Assistant is a layer on the SpeechLive platform rather than a standalone purchase, so what you already run changes the number considerably — there are several upgrade paths, and an existing SpeechLive customer is in a very different position from a new one.

Quoting one figure here would mislead most of the people reading it. Tell us what you have and how many people need it, and we will price it properly.
